Business process automation

Developed production workflows for onboarding, invoicing, reporting, and IT intake at Aalis Management Consulting.

My role

Designer, developer, and operator at Aalis Management Consulting.

Tools & technologies

Power Automate · PowerShell · Microsoft Graph · SharePoint

Outcome

An estimated 1,200+ staff-hours returned annually across the automation programme.

01 / Context

The problem

Recurring administrative work—from onboarding and invoicing to monthly status reports—needed dependable, repeatable processes.

02 / Implementation

What I built and owned

Built production workflows with Power Automate, Microsoft Graph API, and PowerShell. Approval steps and draft-only outputs keep people in control of consequential decisions.

01 / Executive brief

Seven inbox folders. One daily brief.

The executive briefing flow reads seven email folders in parallel, keeps the fields needed for review, and assembles an HTML digest. It replaced a sequential version of the process.

Parallel processing, focused output

07email folders
  1. 017 email folders
  2. 02Parallel collection
  3. 03HTML digest

A single brief for the CEO

02 / Invoice drafting

Prepare the invoice. Keep a person in control.

The workflow brings together the invoice PDF, monthly status report, and hours report, then creates an unsent draft through Microsoft Graph. A person reviews the email before sending.

Draft-only output

Draftbefore delivery
  1. 01Invoice + reports
  2. 02Prepare email
  3. 03Unsent Graph draft

Human review before sending

03 / Status reports

A repeatable monthly reporting cycle.

Three coordinated flows handle report intake, aggregation, and reminders for missing submissions. Each stage has a clear responsibility in the monthly reporting process.

Separate stages, one reporting cycle

  1. 01Report intake
  2. 02Aggregate reports
  3. 03Missing-report nudge

Three coordinated Power Automate flows

04 / Offer letters

From approved template to reviewed offer.

The HR generator selects from eight templates, routes the offer through an approval loop, and produces the final PDF. The process keeps approval separate from preparation.

Approval stays explicit

08offer templates
  1. 018 offer templates
  2. 02Approval loop
  3. 03Final PDF

Review built into the workflow

05 / IT intake

One front door. A clear path for urgent issues.

A Microsoft Form creates a SharePoint request, notifies Teams, and feeds a daily digest. Requests marked as security concerns are automatically escalated to Urgent.

Security concerns receive urgent priority

01IT intake route
  1. 01Microsoft Form
  2. 02SharePoint request
  3. 03Teams + digest

Security concern → Urgent
